Memberships
Packages, class credits, upgrades, and how student Stripe charges work.
Settings → Memberships is the catalog students buy from the public studio.
Memberships list
Memberships in the studio sidebar is the sales view for who is on a plan and what came in recently. The top numbers are active members, members still in a commitment, members already set to cancel, drop-in clients (people with an unused drop-in), expected monthly recurring revenue, and next month expected (that last number leaves out people whose membership already ends on or before their next payment). Edit memberships / Manage plans opens Settings → Memberships, where the catalog is edited.
Pick a period (last 7 days, last 30 days, last 90 days, or this month; last 30 days is the default). Churn is the share of people who were already members at the start of that period and then canceled during it — tap What this means for the same wording. New members and Canceled members use that same period. New joiners are not part of the churn percentage.
Sales totals paid membership and class sales in that period: recurring membership payments, drop-in class sales (online store or front desk card, never a free/comped grant), and in-person retail on this studio’s Stripe. If there were no drop-in sales, that total shows $0 and No drop-in sales in this period. Packs, private sessions, and miss fees show as Other. The recent list has date, client, what was sold, amount, and source, and you can filter by source. Failed payments lists people whose membership charge did not go through, with Open in Stripe to the matching page in this studio’s Stripe (test or live, matching the connected account). If Stripe is not connected, failed payments show a short note; drop-in sales still list from purchases the studio recorded.
Active in the members table includes people already set to cancel (they stay members until that date); Scheduled to cancel is that subset. Drop-in lists people who bought a drop-in class. Unused drop-ins show as Drop-in. After that class is used, they show Previously drop-in. If they later join a membership, the membership stays the main label and Previously drop-in stays underneath. Each status option shows a count, and the table shows how many rows match. A studio with no memberships yet sees No members yet; a filter or search with no rows says No members match these filters. Open a name to reach that client’s Membership tab.
Send a membership link
On Clients → [client] → Membership, staff can tap Send membership link to email the student a studio-branded note with a button to the public memberships page. Add an optional personal message, the same way as an invite. The button is unavailable until the client has an email on file. After a successful send you will see Link sent. Wait a minute before sending another link to the same person. The same action is on the Clients table … menu.
The student signs in or creates an account, then chooses a plan. This does not charge a card at the desk.
Add a membership for a client
On Clients → [client] → Membership, staff can tap Add membership when the client does not already have an active membership. Pick a limited or unlimited plan from the studio catalog, then charge the client’s saved card or enter a new card. The card is saved for renewals. If the client already has a membership, use Upgrade plan instead.
If the bank asks for an extra check, complete it in the same window. A declined card stays on this screen with a short explanation — try another card. After it succeeds, the membership, remaining classes, and recent ledger refresh before the window closes.
What you can edit
Name, description, image, and public, featured, and founding flags. Price, package type, class count, and Stripe price or product ids stay on the Stripe price. Archive a package and create a new one to change those.
Hide archived starts checked so old packages stay out of the list until you show them.
Credits
Purchases grant classes on an append-only ledger after Stripe marks the invoice paid, or after a paid subscription Checkout session that includes that invoice id (same grant key, so both events cannot double-grant). Clients then get a studio-branded purchase confirmation email (Settings → Email Templates, on by default) unless the payment is a subscription renewal. Desk can also grant a Private pack or Single private on the client Membership tab (same form as goodwill) without the student logging into the storefront. Booking a group class reserves one group credit, check-in consumes it, and an in-window cancel releases it. Private appointments use a separate private pack or single private credit. Group memberships and class packs do not spend on privates.
A member with group credits or an unlimited plan does not go through drop-in Checkout for their own class seat.
Plan changes
Upgrading starts the new plan now and charges that plan’s price. Unused days on the old plan are not refunded. Unused classes move to the new plan. If none are left, nothing extra is added. A smaller plan starts next period. Buying another pack adds those classes. Upgrading to Unlimited closes leftover membership credit lots (ledger: Plan change: <old> -> Unlimited) so those classes are not still sitting in Grant or lot. Limited-to-limited upgrades keep unused lots and add the new allowance, with the same plan-change ledger note. While a membership commitment is still running, or a cancel is already scheduled, members cannot upgrade or change plan (the buttons stay disabled with “Plan changes available after <date>. Contact the studio to upgrade.”). Staff can upgrade to a higher-priced plan from the client Membership tab; the commitment end stays the same. After a staff upgrade, the client header and membership tab refresh before the dialog closes. Staff cannot downgrade during a commitment. Packs can still be bought.
Guests
Guest seats spend the member’s credits and follow Classes and guests. Unlimited plans allow at most two guest bookings per billing period. Packs only follow the one-guest-per-class rule for now.
Commitment
Studios can turn on a minimum term for new subscription memberships (Settings → Memberships → Policy). Default is off. Default length is 3 months. If a member cancels during the commitment they are still billed through the end date and keep access until then; after that, members who did not cancel go month-to-month. Existing members are not changed. Pausing and credit expiry are separate. The storefront plan card then shows Ends on (not the current billing-through line) and a studio support email/phone line when those are set in company info.
Stripe
Student charges use the key in Settings → Integrations. They do not use Stripe Connect or the platform software subscription key. The same Pass processing fees to client toggle also applies to retail item Checkout. See Integrations and Retail products.
Verified students can receive a one-person 10% code. Create it in the studio Stripe Dashboard and turn on App & Site → Allow promo codes at checkout. See Student discount codes.
Sign in / Book / Buy on the online store no longer freeze the browser tab. Guests are sent to the account page once, then back to the memberships (or classes) page they came from. Switching to Memberships from another storefront tab should not flash a white page.
