Team and logins
How studio admins add, invite, edit, and remove people — plus seats, roles, and how invites attach to existing staff.
Manage people on Team (/staff). Settings → Team only shows how many login seats you are using. It does not create or edit people.
For studio admins
Add someone to the timetable (no login yet)
Use this for a teacher or staff person who should appear on classes or pay stubs.
- Open Team.
- Click Add team member.
- Enter their name (and title, photo, or blurb if you have them).
- Save. Set rates on their profile if they should be paid.
They do not use a login seat until you invite them.
Give them a login (invite)
- On Team, click Invite on that person (or open their profile and use the Login card).
- Enter their email. Leave the role as Instructor unless they need studio-admin access (Studio manager) or desk access.
- Send. The invite is tied to this person so accepting it will not create a second staff card.
They click the email link, set a password, and join. They do not get a second “verify your email” message — the invite link already proves the address.
To invite someone who is not on the timetable yet, use Invite login on Team. If there is already exactly one unlinked person with the same name, accept still attaches that row.
Edit a person
Open Team and click Edit (or their name). Change photo, title, rates, and bio there.
Names stay in sync for linked logins. Settings → Profile (first + last) and the staff card name always mirror each other. The last save wins both ways: an instructor changing their profile name updates the timetable and booking site; an admin renaming someone on their staff page updates that person’s profile. Classes, the public storefront, and admin lists all read the staff display name.
Edit never creates a new staff card. If someone can sign in but has no timetable profile, use Add to timetable only if they should appear on classes or pay stubs.
Instructors cannot send invites (team, client, or resend). Invite buttons stay hidden until the role is known so they never flash. Studio managers, company admins, and platform super admins keep invite access.
Remove a login or cancel an invite
Studio managers (studio admins) and owners can:
- Cancel invite — on the Team table (row button and menu). The pending seat is freed.
- Remove login — on the person’s Login card (
/staff/[id]), not on the Team table. They are emailed and can no longer sign in; their timetable profile stays until you archive it.
You cannot remove your own login or a platform super admin. The last company admin cannot be removed.
To resend, send a new invite to the same email from Team.
Seats
Each studio has 6 login seats. Pending invitations count. At most 3 pending invites at once.
The header on /staff and Settings → Team reads N used + M pending of 6.
Title vs role
- Title is the label on their staff card (you can type anything). Accepting an invite does not overwrite a title or rates you already set.
- Role is what they can do in the app:
| Role | What they can do |
|---|---|
| Instructor | Own schedule and own pay stubs. Cannot invite staff or clients, or edit App & Site or studio-wide settings. |
| Front desk / general staff | Day-to-day studio tools. Not company settings. |
| Studio manager | Studio admin: Team, settings, invites, remove login, cancel invite. |
| Company admin | Same access as studio manager here. Only a platform super admin can invite another company admin. |
Platform super admins never show up on Team, class pickers, or pay stubs. The studio’s own admin login does stay visible.
Pay stubs need a timetable profile (rate, Connect, taught class, or an active staff row). A login with no staff card does not appear. See Team payouts.
Names stay in sync: the last save wins between a person’s profile and their staff card. Public pages show the staff display name. Super-admin logins stay off studio-facing team lists.
